What is the Student Experience workstream?
Student Experience is a multi-year initiative to redesign and streamline the way the University does business, creating an engaging, seamless and personalized journey for prospective students from application to enrollment and beyond.
The goal is to provide a simplified, student-centric application experience, with one application for all campuses. Students and their families will receive personalized communication, register for events, and schedule visits using a modern, intuitive technology platform.
Why do we need this?
Today’s higher education landscape is a much more competitive and fast-paced environment than when the current set of WVU tools and business processes were created. To remain competitive, the University needs systems and processes that allow us to innovate in ways that support students and help them easily and intuitively navigate WVU admission processes. WVU is investing in state-of-the art Salesforce technology to create an experience we believe will differentiate us from other institutions.
When is all this happening?
Phase I of the Student Experience workstream will affect recruitment and admissions. The MyWVU Portal provides access to the new admissions application and allows applicants to track status updates throughout the process. Additionally, it launches a new platform for employees called Salesforce Learner Org.
MyWVU Portal will launch for all undergraduate and graduate applications on all campuses in early August 2025. Starting with the Spring 2026 term, all incoming WVU students systemwide will use it to apply for admission. All applicant data for the Spring 2026 term and beyond will be stored in Salesforce Learner Org.
The old TargetX admissions application will be decommissioned in late August. However, licensed staff will retain access to the system through December 2025. Some employees may be working in both systems for a short period.
Phase II of the Student Experience workstream will begin in 2026 and focus on enhancements and improvements, including the implementation of Mogli, a texting platform. More details will be available in the coming months.
I work with prospective students. When will I get training?
Enrollment Management personnel will be prepared for the July transition to Salesforce Learner Org in the coming months. Undergraduate college recruiters, WVU Potomac, WVU Tech and WVU Online can expect to receive training between May and July 2025. Those involved with the graduate-level “out to department” process will be trained in early September 2025.
I work in enrollment and recruiting. How will the Student Experience project help me?
When fully implemented, the Student Experience project will provide better information and tracking capabilities for Enrollment Management and other University units that rely on accurate, timely data. WVU also will begin using one application, regardless of which campus a student wants to attend.
What has the project team done so far?
A successful soft launch of the new software platform facilitated admission of 442 High School Access students for the Spring 2025 semester.
How will this work improve the student’s application experience?
Students will only need to fill out one application, regardless of which campus they are considering. In time, they can expect a more student-centric and personalized recruitment and admissions experience.
Will any existing systems be retired?
Yes, Target X will be retired in December 2025. Existing data from TargetX will be migrated into Salesforce Learner Org prior to its retirement. This will affect people who work in admissions and recruitment, such as Enrollment Management, the Hub, the Visitors Center, Graduate Admissions, the Regional Recruitment team and college recruiters.
